Documents and Membership Card ​

ClubTrack can provide member document storage and a digital membership card. These features only appear when your club has enabled them.

Upload a document ​

Go to Documents → My Documents.

  1. Select the document type.
  2. If applicable, choose whether the file is the front or back of the document.
  3. Choose the file from your device.
  4. Select Upload document.

Supported uploads in the current web app are:

  • JPEG/JPG images
  • PNG images
  • PDF files

Current upload limits are:

  • images: 1 MB maximum per file
  • PDFs: 5 MB maximum per file

The available document types include driver's licence, Medicare, longarm, handgun, other, and — when membership cards are enabled — membership-card profile photo.

Profile photos ​

If membership cards are enabled, you can upload a profile photo from My Documents.

Use a clear, front-facing portrait. Depending on your club's settings, the new photo may either become active immediately or remain Pending approval until an administrator reviews it.

Possible photo statuses include:

  • Approved — currently available for member-facing surfaces and the membership card
  • Pending approval — uploaded but not yet approved
  • Rejected — not approved; the administrator may provide a reason

If a new photo is pending approval, an existing approved photo may continue to be used until the new one is accepted.

Download or remove a document ​

Your document list contains the files currently attached to your member account.

Use the available actions to download a file or delete it. Deleting a document cannot be undone, so make sure you still have your own copy if you may need it later.

Digital membership card ​

If enabled, go to Documents → Membership Card.

Your club controls the design and information displayed on the card. Depending on club settings, it may include:

  • your member details
  • membership tier
  • profile photo
  • qualifications
  • kiosk QR code

The page can be used to view and print your digital membership card.

Kiosk QR code and privacy ​

A kiosk sign-in QR code may also be available from My Account → Security & Kiosk PIN after you set a kiosk PIN.

Treat kiosk QR codes as credentials. The security screen warns that the QR contains your member number and PIN, so do not post or share it publicly.

I cannot see Documents or Membership Card ​

These items are feature-controlled by your club. If an expected menu item is missing, contact a club administrator to confirm whether the feature is enabled for your club.
