Participation Compliance
ClubTrack's Participation Compliance report helps club administrators review annual Victoria handgun participation progress and identify records that may need data cleanup.
This report is a club administration aid. It does not replace your club's responsibility to confirm its regulatory obligations and verify records before relying on them for compliance reporting.
Open the report
From the Admin Workspace, go to Compliance → Participation Compliance.
The report can be filtered by:
- Year
- Compliance status
- Member name or member number
- Handgun class (Class 1–4)
- Page size
Use Export CSV when you need a spreadsheet copy of the filtered report.
Understanding the report
Each member row shows their recorded:
- Owned handgun classes
- Total qualifying events
- Match events
- Events recorded as a competitor
- Separate participation days
- Participation totals for each handgun class
- Recent activity history
- Overall status
- Data-quality warnings
The figures are displayed as progress against the requirements currently used by ClubTrack for the report.
Status meanings
Met
The member's recorded data meets all requirements used by the report for the selected year.
At risk
The member has recorded activity but one or more report requirements have not yet been met.
Not met
The member has not met the report requirements and may have little or no relevant recorded activity.
Unknown
ClubTrack cannot confidently calculate the member's status because required handgun-class information is missing or inconsistent.
Treat Unknown as a data-quality issue rather than as a compliance result.
Why handgun classes matter
ClubTrack resolves the handgun class for a participation from the available participation, approved-match and firearm data. Missing class information can prevent ClubTrack from assigning activity to the correct class.
Common warnings include:
- A handgun does not have an LRD handgun class
- A participation cannot be assigned an LRD handgun class
- A participation references a firearm record that no longer exists
Members should keep their handgun records current under Member Workspace → My Firearms. Administrators can review all firearm records under Admin Workspace → Firearm Registry.

If the totals look wrong
Check the following before changing the compliance record itself:
- Confirm the participation occurred in the selected year.
- Confirm the participation has been approved if your club requires participation approval.
- Check the recorded match, role and handgun class.
- Check that the member's handgun is recorded and has the correct Class 1–4 value.
- Check whether an old firearm record was deleted after it had already been used on a participation.
- Review the member's Participation History and the administrator Participation Queue for duplicate, rejected or incorrectly entered records.
Preparing for an attendance export
The Attendance Export screen also checks for data-quality warnings. Resolve class and participation warnings before producing a regulatory workbook wherever possible.
