Managing Your Member Account
Use the Member Workspace to manage your own ClubTrack account. The exact menu items you see depend on the features your club has enabled.
Dashboard
Open Member Workspace → Dashboard for a summary of your account.
The dashboard can highlight:
- incomplete contact details
- missing licence information or licence expiry dates
- whether your kiosk PIN has been set
- pending membership-change requests
- recent participation activity
- annual participation progress and compliance warnings
If ClubTrack shows a task under Next Steps, select it to go directly to the relevant screen.
Update profile and contact details
Go to My Account → Profile & Licences.
Your profile contains your member number, name, contact details, address, licence details, and any supported external credentials or memberships.
Contact and address changes
- Select the option to edit your contact or address information.
- Update the required fields.
- Submit the change.
Contact and address updates are submitted as membership-change requests for club review. You can track their progress under Overview → My Requests.
Licence details
You can maintain your recorded firearms licence information, including licence numbers, expiry dates, and applicable licence categories or types.
For longarm licences, ClubTrack supports categories such as A, B, C, D, E, and Heirloom where applicable.
Keep expiry dates current because ClubTrack can use them for dashboard warnings and club compliance workflows.
External credentials and memberships
Your club may use ClubTrack to record information such as:
- Working With Children Check
- Range Officer Certification
- First Aid Certification
- SSAA Range Officer Accreditation
- Firearms Safety Course Completion
- memberships with external organisations
Depending on club settings, credential changes may take effect immediately or be submitted for administrator approval.
Track membership-change requests
Go to Overview → My Requests to see requests you have submitted and their current status.
A request may remain pending until a club administrator reviews it. Submitting the same change again does not necessarily make the original request process faster, so check this screen before resubmitting information.
Change your password
Go to My Account → Security & Kiosk PIN.
- Enter your current password.
- Enter your new password.
- Enter the new password again to confirm it.
- Select Change Password.
The current web app requires the new password to be at least 6 characters long.
Set or change your kiosk PIN
Your kiosk PIN is used for quick sign-in at a club kiosk.
- Go to My Account → Security & Kiosk PIN.
- Enter a numeric PIN between 4 and 6 digits.
- Select Save PIN.
To remove an existing kiosk PIN, leave the PIN field blank and save it.
Once a PIN is set, ClubTrack can display a kiosk sign-in QR code. This QR code contains information that can sign you into a kiosk, including your member number and PIN. Treat it like a credential and do not share it publicly.
Manage linked junior members
Go to My Account → Linked Juniors if you are a parent or guardian of a junior member linked to your account.
For a linked junior you may be able to:
- update profile and contact information
- maintain licence details
- review invoices and balances
- pay an eligible invoice by card
- download invoice PDFs
- upload supporting documents
- review recorded consents
If no junior members appear, contact your club administrator to confirm the guardian link on the junior member record.
Manage your firearms
Go to Records → My Firearms.
You can register, edit, or remove a firearm recorded against your own member account.
When registering a firearm, ClubTrack records:
- name/model
- serial number
- type: longarm or handgun
- optional notes
- for handguns, an optional LRD handgun class from Class 1 to Class 4
Keeping handgun classes accurate is important because annual participation progress can use your recorded firearms to determine which class-specific requirements are relevant to you.
Membership card
If your club has enabled membership cards, go to Documents → Membership Card to view or print your digital card.
Your club controls the card appearance and whether items such as your photo, qualifications, membership tier, or kiosk QR code are shown.
Newsletters
If newsletters are enabled, go to Communications → Newsletters to read recently published club communications.
